Export responses

Download responses as an Excel (.xlsx) or CSV file, and choose which columns go into the file and which responses are included.

Export steps

Your choices are remembered in your browser, so you do not have to check the boxes again the next time you export.

  1. 1Click “Export” on the survey's detail page; the “Export responses” dialog opens.
  2. 2Choose “Excel (.xlsx)” or “CSV” as the “File format”.
  3. 3In “Question columns”, check the information to include for each question.
  4. 4In “Response fields”, choose the response-level columns.
  5. 5Set the “Filters” and click “Download”.

File format

  • Excel (.xlsx): the default option. The file has two sheets named “Yanıtlar” (responses) and “Kod defteri” (codebook). The codebook lists the question id, question title, type, option ids and option labels for each question, so coded columns can be read from the file itself.
  • CSV: downloaded with UTF-8 encoding and recommended for large datasets.

There is no export in SPSS or PDF format.

Question columns

If you select no question columns, the file contains only response fields.

  • Answer: the readable label, for example “Very satisfied”.
  • Answer code: the coded value of the answer, for example 5 or an option id.
  • Time on question: the seconds spent on the question.
  • Answered at: the moment the answer was given.

Response fields and filters

  • Response no, Response id, Status, Started, Completed, Last activity, Total time, Survey version and Test response.
  • IP address, Country and Time zone: these columns are empty for anonymous surveys.
  • “Completed responses only”: leaves unfinished and disqualified responses out of the file.
  • “Include test responses”: also adds responses marked as test responses to the file.

Tips for importing into YouReply Analyze

  • If you will use the file in YouReply Analyze, select the “Answer code” column for numeric work; you can also add the “Answer” column to see the labels.
  • To work with completed responses only, turn on the “Completed responses only” filter.
  • For a large number of responses, prefer CSV. When opening a CSV file in a spreadsheet program, choose UTF-8 encoding so Turkish characters are not garbled.
  • Keep the “Response id” column in the file so you can match responses later.
