Account and Data Deletion

This page explains how to delete your YouReply account, which data is anonymized afterwards, which data is kept for statutory periods, and how to request deletion of your survey data.
1. How to delete your account
- Open the "Privacy" page in the account application (account.youreply.com.tr).
- Start the deletion request and type your own email address to confirm.
- Once the request is created your account is frozen and your session ends: from that moment you can no longer sign in.
- A 7-day waiting period runs. It exists so that a deletion started by mistake or without authorization can be noticed. If you change your mind, write to destek@youreply.com.tr.
- After the waiting period, our team completes the deletion.
2. When a deletion request is blocked
- While a paid period is live: an account cannot be deleted while a paid usage period is running. You can wait for it to end; at the end of the period the product returns to the Free plan by itself.
- If you own a shared account: deletion cannot be started while you own an account that has other users. You first need to transfer ownership of the account or remove its other members.
3. What happens when deletion is completed
- Your identity data is anonymized: email address, phone number, first and last name, date of birth, identity details and address.
- Your password is removed.
- Sign-in IP records, session tokens and your account settings are deleted.
- A hashed value of your email address and phone number is kept on a block list for 1 month and then deleted.
- The account can no longer be used to sign in.
4. What account deletion does not delete
- Order, contract approval and invoice records: kept for 10 years under tax and commercial legislation. Even if you delete your account, these records are not deleted before that period ends. See Customer and Subscription Privacy Notice.
- Data in the product database: your surveys, the responses collected and uploaded files are not deleted by the account deletion flow. Their deletion must be requested separately (section 5).
5. How to have your surveys and responses deleted
- Export first. Download your responses as Excel (.xlsx) or CSV: deletion cannot be undone and the application has no function that brings responses back.
- Write your request. Send it to kvkk@youreply.com.tr from the email address registered in your account, stating which surveys and responses you want deleted.
- It is done manually. Because the application has no delete function for surveys or responses, deletion is carried out by our team. We confirm receipt and the outcome by email.
Empty workspaces can be deleted and projects can be archived, but these actions do not delete response data.
6. Inactive accounts
Accounts with no sign-in for 2 years (counted from the sign-up date if there has never been a sign-in) receive a notice email. If there is no sign-in within 30 days of that notice, a deletion request is opened and the account is frozen; after the 7-day waiting period, deletion is completed with our team's approval. Signing in is enough to keep your account active.
7. Backups
The database is backed up regularly and backups are held on a separate backup machine. Deleted or anonymized records may remain in backups until those backups rotate out of the cycle. Backups are used only to restore after a failure; they are not read in day-to-day operation.
8. If you are a survey respondent
If you answered a survey and want your answers deleted, the controller is the researcher running the survey and your request should go to them. We forward such requests that reach us to the relevant researcher. How to apply: Data Subject Request Form.
9. If you are a member of a team account
If you were added as a member of an organization account, the surveys and responses in that account belong to the account itself; deleting your own account does not delete them. When your membership ends, your access and product permissions are removed. Deletion of data in an organization account can be requested only by the account owner or an admin they have authorized.
